Value of Digital Enterprise Application for Society Management

On a routine basis, we interact with the RWA governing body members, estate manager and builders. While most of them do see a value in the solution such as, there are some who pose questions.  The questions are mostly related with that - we already have all the information in the registers and files, we are a small society and everybody knows everybody, we are not responsible for the society maintenance, the IT systems are difficult to use, we already have a desktop based application etc. We at believe that the digital information is far more valuable than manual information.  We would like to discuss the key benefits of digital system like



There are three important terms – digital, enterprise and information. The first term ‘digital’ means that the information is available into computer software and is accessible. The second term ‘enterprise’ means that the digital information is not a personal information on a desktop or laptop but there is a common database driven application which stores the information. For example, a society may be maintaining records in an excel spreadsheet. But the excel spreadsheet is not an enterprise system – different people and even the same person may have multiple versions of excel spreadsheet. The third important term is application. This means a proper business application which can take care of multiple scenarios in a configurable way and can account for exceptions.


The benefits of the good digital enterprise application are as follows:


  1. Remote Access – The digital information makes remote access or anytime access possible.  A user can typically log on to the internet from whatever place or whatever time and get access to the relevant information.

  2. Common Information – Such a system ensure that a common information or data is being access by everybody. For example when a person makes bill payment and the information is entered by the accountant in the system; the same information gets accessible by the manager, accountant or the resident. The resident need not worry whether his / her check information has been accounted for in the system.

  3. Transparency – Such a system provides for transparent information. It is very easy to make a file or an excel spread sheet invisible. In an enterprise application, such interference of hiding becomes difficult. Of course, the system does not to be designed as a transparent system.

  4. Visibility – It is much easier to provide visibility to all the stakeholders, when the information is digital. Of course, the system does need to be designed for visibility.

  5. Data Integrity- A good enterprise application ensure that the data integrity is always maintained. One example is that quite a few software or excel based billing system store the meter data. They however provide complete flexibility that the start reading of the meter can be different from the closing reading of the meter for the previous month.

  6. Ease of Analysis – A digital system always makes analysis very easy. One example is complaint management system. A society may be running an excellent register based system but they would grapple with generating reports such as how many complaints of plumber were registered in a month and how many were resolved.

  7. Economical – the digital information system have much lower total cost of ownership over the life cycle if one starts putting a cost to the time which is spent in a manual system

  8. Cloud System – It is very much possible to put a digital enterprise application on a cloud so that a society need not have any society specific hardware / servers to maintain the system.
